TIMELINE: Science Chase Sample

Friday pre-event: store challenge materials at a central location close to the SCHQ for the morning

Saturday

  • 5 AM – Wake up call
  • 6:30 AM – Arrival of exec committees
  • 7 AM – 9 AM
    • 7:00 am – street is closed
    • 7:15 am – tents arrive
    • Move all materials for challenges to HQ and set up Challenges
  • 9 am – 11 am
    • 9 am – volunteers arrive, check in with volunteer committee in physics lounge, then check in with SCHQ. This process will likely take until 9:30 AM
    • Set up volunteers at stations (hopefully by 10 am are ready to go)
    • Confirm “ready to go” status with HQ, Team Leader and the SC Director at your site
  • 11 am – 1 pm
    • REGULAR OPERATION OF CHALLENGES, expect this will be slow to start.
  • 1 pm – 2 pm
    • Transition between shifts.  All supervisors help ensure a smooth transition, checking in with HQ if transition has not occurred by 1:30.
  • 2 PM – 4:30 pm
    • REGULAR OPERATION OF CHALLENGES, This will be the busiest time period
    • 3:30 pm is the last team out
    • 4:30 pm is the last team in
    • 4:40 pm is our awards ceremony on the main stage
  • 4:30 – 5:30 PM
    • Clean/take down challenges
    • Move items first to HQ if needed as a checkpoint, and then to (see SC site Director or HQ staff for details)
    • Sign out volunteers at HQ as each challenge is completely finished and put away
    • Once your challenge volunteers are finished, ask them to help with regular clean up
      • IF you want to see the awards ceremony, make sure materials are at least at SCHQ
  • 6 PM – shift of afternoon volunteers ends
  • Post-6 PM
    • Try to remain and help overall take down of event until all finished or you must go
